Referees

Guidelines for Selecting Referees

Peer assessment in the form of external and internal referee letters, as well as student testimonials, are powerful documents used by the Department of Medicine and the Decanal Promotion Committees.

You are required to compile lists of suggested external and internal referees and names of students for testimonials, using the forms belowand submit these suggestions to the Physician-in-Chief by the required deadline. It is imperative you recommend referees who are arm’s length experts in your field.

In addition, your Physician-in-Chief will solicit letters from other external and internal referees beyond those you suggest.

Candidates must never solicit or contact referees and students! 

The Physician-in-Chief solicits all confidential written assessments.

You are required to provide the following to your PIC:

  1. The names and contact information for three (3) possible external referees using the External Referee Form
  2. The names and contact information of three (3)possible internal referees using the Internal Referee Form.
  3. The names and contact information of former and current students (to a maximum of 8). Student testimonials will be selected by the Physician-in-Chief from your Student Testimonial Form.
  • External referees
    These three should be senior independent experts in your field of interest who:
    1. Are not former supervisors, colleagues, collaborators, or co-authors on publications within the last FIVE years.
    2. Are at the rank you aspire to or above.

If any letters are from referees who are active or recent collaborators or co-authors, they should be identified as such and will be accepted, however, will not be counted as one of the minimum 3 required letters.

  • Internal referees
    These three must be UofT faculty members:
    1. From a cognate department at your Hospital or at the University            
      Examples:  Anaesthesia, Surgery, Immunology, Physiology, Biochemistry
    2. Who are not in your City-wide Division and are not faculty of the Department of Medicine at your Hospital
    3. Who are NOT close collaborators or personal associates
    4. Who have NOT collaborated with you in the past 5 years
    5. Are NOT members of the Dept. Promotion and Decanal Committees

    If you hold a cross-appointment, the Physician-in-Chief will seek assessments from the departments at the University of Toronto where you hold those cross-appointments.  
    University Department Division Directors and Chairs of your cross-appointed department may not be considered as referees.
