Physician-in-Chief (PIC) is the senior most responsible academic officer leading the academic promotion process for the hospital site. The PIC reviews the list of faculty of that institution to determine potential candidates in the given year. The PIC will meet with the faculty member to discuss his/her candidacy. The physician-in-Chief convenes the local hospital promotion committee, recruits senior faculty within the institution to function as promotion mentors.
The local hospital promotion committee will at the request of the PIC, review the preliminary documentation and confirm the candidacy. University Division Director provides advice to the PIC from a University divisional-wide perspective concerning the candidate, gives advice about potential experts in the candidate's field of study, and recommends names of external peer-reviewers to augment the names of potential referees listed by the candidate. Hospital Promotion Mentor is an individual selected by the PIC because they themselves have attained the rank of Full Professors at the University of Toronto, are familiar with the promotion process at the University of Toronto and in some instances have served on the Department of Medicine Promotion Committee or on the Faculty of Medicine's Decanal Promotion Committee thus having attained deeper insight and knowledge concerning the adjudication of academic promotion. The mentor will provide advice to the candidate concerning the best category to position his/her promotion and review the documentation as an aid and guide for the candidate. Some promotion mentor's having had experience in the area of CPA in their own promotion and are able to provide specific guidance on the development of a strong CPA Introduction with helpful advice and guidance concerning the supporting documentation (appendices). Department Promotion Committee Administrator (DPCA), also known as Hospital Promotion Administrator, is the senior responsible administrative officer assisting the PIC with the academic promotion process at the respective hospital site. This officer is the liaison between the promotion candidate, PIC, local Hospital Promotion Committee, the University Division Director and the Hospital Promotion Mentors providing guidance and support to the promotion candidate and his/her assistant. The DPCA publishes the internal hospital deadlines for the submission of documents, supports the evaluation process involving the acquisition of the peer-assessments from the external and internal referees including solicitation of the student testimonials. The DPCA is a trained expert in Laserfiche and will coordinate the production of the Laserfiche Promotion ID for each candidate
